Receptionist Interview Questions and Answers

Last updated: January 21, 2026
This guide is designed to help you prepare for a Receptionist interview and skills assessment. The Receptionist interview test evaluates your ability to manage a busy front desk while maintaining a calm and welcoming atmosphere. It isn’t just about answering phones; it’s a test of your multitasking abilities and your judgment. Interviewers want to see how you prioritize visitors, handle incoming calls, and manage administrative tasks—all with a smile on your face.

Type of Questions to Expect in a Receptionist Interview

Expect questions that put you in "real-life" office scenarios to see how you react under pressure:
  • Situational Management: "The phone is ringing, a courier is waiting for a signature, and a guest just walked in. What do you do first?"
  • Conflict Resolution: "How would you handle a visitor who arrives for a meeting but doesn't have an appointment and refuses to leave?"
  • Technical Skills: Questions about your experience with multi-line phone systems (PBX), visitor management software, and the Microsoft Office Suite.
  • Behavioral: "Tell me about a time you had to deal with a frustrated client. How did you turn the situation around?"
  • Company Knowledge: "What would you say if someone called and asked exactly what our company does?"

What the Interviewer Will Expect

The hiring manager is looking for a "Master of First Impressions." They will specifically look for:
  • Positive Attitude: Can you stay friendly and helpful even at the end of a long, stressful day?
  • Professionalism: This includes your grooming, your tone of voice, and your ability to stay composed.
  • Superior Multitasking: Can you switch from a data-entry task to greeting a CEO without losing your place?
  • Reliability: Receptionists are the gatekeepers. If you aren't at your desk, the office doesn't run. They need to know you are punctual.
  • Discretion: You will see who comes and goes and hear private conversations. They need to know you can keep information confidential.

Tips on Getting Ready

To show you are the organized professional they need, follow these steps:
  1. Practice Your Greeting: Your first "hello" is your first test. Practice a clear, professional, and warm greeting.
  2. Research the Key Players: Know the names of the CEO and senior managers. A receptionist who recognizes names shows they are already part of the team.
  3. Prepare for a Practical Test: You might be asked to type a short letter or demonstrate how you would transfer a call. Refresh your knowledge of "Hold" and "Transfer" etiquette.
  4. Use the STAR Method: For questions about your experience, explain the Situation, Task, Action, and Result to keep your answers structured.
  5. Dress for Success: For a receptionist role, your appearance is part of the job. Dress in professional business attire to show you understand the company’s standards.
